The Pike County Clerk of Superior Court’s Office responsibilities include:
- Management of criminal, civil, and juvenile court cases.
- Management of real estate and personal property records of the county.
- Administration of the Court Registry and other additional services required by law or performed as a courtesy to the citizens of the county.
The Court Case Management area includes the receiving, filing, storing, and retrieving of civil and criminal court records for Superior Court and Juvenile Court. All records are open for inspection and copying except juvenile court records, adoption records, and any records sealed by Court Order. This office provides support for the court through management of court records, attendance during court proceedings, and the issuing of juror summons, witness subpoenas, trial calendars, and notices.
The Real and Personal Property division handles the receipt, processing, indexing, and reproduction of all records related to land (real estate) and personal property transactions, including sales, transfers, or encumbrances, in Pike County. All records for real and personal property are available for public viewing and copying. EFFECTIVE JANUARY 1, 2025: GEORGIA HOUSE BILL 1292 REQUIRES THE FOLLOWING:
- Electronic Filing for Real Estate Documents: If someone (a self-filer) files documents related to real estate (like deeds) themselves, they will have to do so electronically (online) rather than on paper. A self-filer, is any person who is NOT a public official or employee of a federal, state, or local government or a department, agency, board, commission, or authority thereof performing their official duties.
- Identification Requirements: The Georgia Superior Court Clerks’ Cooperative Authority (an organization overseeing the recording of documents) will set rules to ensure that people filing electronic documents provide proper identification. Your identity must be verified. There are no exceptions.
- These groups may file via paper:
- Georgia licensed attorneys
- Mortgage Lenders – Georgia Licensed or exempt
- Mortgage servicers, (as such term is defined in 12 C.F.R Section 1024.2)
- Georgia licensed surveyors
- Georgia licensed title insurance companies
- Georgia licensed real estate brokers or salespersons
- Any public official
The Administrative area is responsible for the management of the office and accounting for all funds paid into the court registry. It also includes various other services and administrative responsibilities including:
- Notary Public – Issues and approves applications for notaries public. Applications are available at www.gsccca.org.
- Passports – Serves as the only Passport Acceptance Agency in the county. Applications are available at www.travel.state.gov and are available at our office.
- Military Discharge Records – Files and maintains military discharge papers.
- Trade Name Registrations – Files and maintains trade name registrations in the county.
- Partnerships – Files and maintains all partnership papers.
- Attorney Bar Admissions – Files and records Bar Admissions.
- Jury Management – Maintains and manages jury pool information for the county, summons and notifies jurors when to report, administers excusals and deferrals, and manages juries during jury trial selection.
- Board of Equalization – Oversees the Pike County Board of Equalization including insuring Grand Jury makes Board Member appointments, insuring Board Members receive required training, scheduling and notifying parties of hearing dates, and mailing Board decisions as required by law. The Clerk of Superior Court’s responsibilities are purely administrative and do not involve participation in the hearings and determinations of the Board.
